Office Policies

Timing of Payments, Pay Schedules and Cancellations

Client sessions must be paid in full prior to session. If you are paying by debit or credit card, your card will be charged two days prior to your scheduled session. If you have paid for multiple sessions, your card will be charged for the five sessions (with discount), two days prior to the first session of five.

If you are paying by check, the check will need to arrive FIVE business days prior to your session. If the check has not been recieved and/or cleared by the bank, then your session will be cancelled and you will need to reschedule.

If for some reason an unpaid balance occurs, the client takes full responsibility to bring their account up to date as soon as possible and no longer than one billing cycle (30 days).

If a client must cancel, notification must be given within 48 hours so your account will not be charged. No refunds will be extended, except in extreme circumstances. In lieu of a refund, you are free to schedule a make-up session. In the case of an extreme situation where a refund is necessary, you will need to speak directly to me and explain the situation.

If an account balance has not been paid or explained for a period of six months or more, your account will be turned over to an agency specializing in retrieving any balances due.

Please be prompt. If you have not called by 15 minutes after your scheduled time, the session will be considered forfeited. (There will be scheduled appointments following yours and therefore your time cannot be made up.)

Confidentiality

In order to provide you quality sessions, I regularly consult with other seasoned and experienced coaches regarding my practice and attend workshops and seminars. During these times, I am frequently required to relate my coaching circumstances and share examples of my coaching challenges in regards to clients. This is done in both written and verbal formats. As a result, I reserve the right to periodically approach other experienced and seasoned coaches for advice and consultation regarding my coach-client relationships in order to offer the best coaching services for my clients.

I consider confidentiality sacred. However, in these situations mentioned above, I might share circumstances, but I never reveal the identity of my clients so that your confidentiality is protected. This holds true except in cases of a court subpoena; where I am mandated by current laws (*see list below) or where you specifically request I advocate on your behalf. In the latter case, you will be required to sign a “Release of Confidentiality Agreement.”

The only instances where your personal information might be shared would be in the case of “mandated reporting”. In cases of mandated reporting, I am required by law to report cases where disclosed information would lead to the belief that there was evidence to support that:

  1. Abuse or harm to another human being had occurred, was suspected or was imminent

  2. Abuse or harm was committed against yourself, is suspected, or may be imminent

  3. A felony had occurred or was imminent

Additionally, for administrative purposes, various information of the client may be viewed by professional office staff, accountants, and financial institutions for the benefit of the client. The individuals in these capacities are also bound by professional confidentiality.
